These Terms and Conditions apply to all stallholders participating in events organised by the Organisers.

1. Stallholder Eligibility

  • All stallholders must have received confirmation of their booking.

  • Stallholders must operate in accordance with Australian Consumer Law and all relevant local regulations.

  • Stallholders offering food or drink must comply with relevant council food safety and permit requirements. Please note: food and drink stalls are not permitted at this event.

2. Public Liability Insurance

  • All stallholders are required to hold a current Public Liability Insurance policy with a minimum of $10 million cover for participation in the event.

  • A copy of the Certificate of Currency must be submitted to the Organisers no later than 3 days before the event.

  • If you do not hold your own insurance, you participate at your own risk and may be held personally liable for any incidents, claims, injuries, or damages arising from your products, stall setup, or activities. Stallholders without insurance agree to indemnify and hold harmless the Organisers against any legal claims or damages resulting from their participation.

  • The Organisers reserve the right to decline a stallholder’s participation if adequate insurance is not provided or arranged.

3. Stall Setup and Equipment

  • Stallholders must provide their own marquees, tables, chairs, and display equipment, unless otherwise arranged.

  • All marquees must be weighted with a minimum of 20kg per leg for safety.

  • Stallholders are responsible for setting up and packing down their stalls within designated bump-in/out times.

  • Stalls must be presented in a neat, professional, and safe manner at all times.

4. Site Access & Parking

  • No vehicle access is permitted along the river edge or in any non-designated areas.

  • Stallholders may park at the WTC building parking area. Discount parking rates are available upon request.

  • Stallholders must follow the directions of event staff at all times.

5. Waste Management

  • Stallholders are responsible for maintaining a clean and tidy stall space throughout the event.

  • All rubbish must be removed at the end of each trading day.

  • Recycling is encouraged, and appropriate bins will be provided on site.

6. Power and Electrical Equipment

  • Only pre-approved stallholders may access power.

  • All electrical equipment must be tested and tagged by a licensed electrician.

  • Double adapters and piggyback plugs are prohibited.

  • All electrical leads and cables must be safely secured and covered to avoid trip hazards.

7. Conduct & Safety

This is a family-friendly and inclusive event. All stallholders must:

  • Treat staff, volunteers, fellow stallholders, and the public with respect at all times.

  • Ensure their activity does not pose any safety risk to others.

  • Refrain from any offensive, aggressive, or discriminatory behaviour.

8. Cancellation & Refunds

  • Stallholders who cancel within 7 days of the event are not eligible for a refund.

  • The Organisers reserve the right to cancel or reschedule the event due to weather, safety concerns, or unforeseen circumstances.

  • In the event of cancellation, the Organisers will endeavour to offer a credit toward a future event or partial refund (less any non-refundable administrative or insurance costs).

  • Stallholders must ensure their equipment is waterproof and securely anchored.

10. Indemnity

  • Stallholders agree to indemnify and hold harmless the Organisers and their staff, volunteers, venue providers, and sponsors from any claims, damages, or liabilities arising from their participation in the event.
